For environments that require custodians to receive hold notices and acknowledge them, product offers legal hold notifications. For more stringent requirements where enforcement is necessary, EMC SourceOne eDiscovery – Kazeon offers legal hold enforcement that operates either in-place or at a target repository. Finally, the product provides the ability to see all documents and e-mails that are on hold, where they are located, and the status of sent and acknowledged notifications. Legal supervisors can conveniently manage and track all legal hold activities in one place.

Legal hold notification

EMC’s legal hold notification is as simple to use as e-mail. Custodians are selected individually or by distribution list. Users can modify an existing notification template or create their own and track the acknowledgement status. Supervisors and legal administrators can determine which notifications have receipt acknowledgements and which ones are outstanding. All notifications are visible in one place and can be responded to either directly or through a proxy if needed.

Legal hold management

EMC’s industry-leading legal hold management product enables users to quickly identify documents and e-mails that need to be on legal hold, place them on hold, notify custodians of the hold, and enforce the hold. This prevents modification or deletion of files while still allowing users access. When the case is over, the legal hold is just as easily released as it was set.

In-place legal hold

EMC SourceOne eDiscovery - Kazeon places a lock on any potential material information where it resides on the network and modifies file permissions so that only the legal hold owner has access. It is typically used as a transient form of legal hold until a secure, target legal hold is implemented or until the initial investigation is completed. In-place legal hold provides an immediate lockdown of potentially relevant electronically stored information (ESI) with a click of a button while preserving all metadata and content—whether on a laptop in Asia, a desktop in Europe, or a server at corporate headquarters. An in-place legal hold is released just as easily as it was implemented. This feature delivers a powerful early case assessment capability without the collection challenges.

Target legal hold

Target hold executes a “copy and preserve” rule to a secure storage system. It then performs a data integrity and verification test to ensure chain-of-evidence preservation. With EMC’s Electronic Discovery Reference Model (EDRM) compliance, the “copy and preserve” capability is seamlessly integrated with the industry’s leading e-mail and content repositories, as well as retention storage systems. This feature provides extensive defensibility and auditability for eDiscovery by ensuring no spoliation of data and no modifications to metadata attributes of documents and e-mails.

Legal hold dashboard

The legal hold dashboard allows users to immediately determine what items are on hold, where they reside, who set them on hold, and when the hold was set. The dashboard also provides legal supervisors with complete visibility into and accuracy of all legal holds that have been issued in the EMC system. E-mail notifications inform custodians that a hold has been issued.
